Job Description
Executive Support & Scheduling
v Provide comprehensive personal assistant support to the Managing Director, including managing calendars, appointments, meeting arrangements, and travel itineraries.
v Prepare reports, presentations, meeting agendas, and minutes with accuracy and professionalism.
v Handle confidential documents and correspondence with discretion and sensitivity.
Communication & Correspondence
v Act as a key communication bridge between the Managing Director and internal departments, external partners, and Japanese stakeholders.
v Draft and translate official correspondence in English and Japanese when necessary.
v Facilitate cross-cultural understanding and ensure adherence to Japanese business etiquette during interactions.
Coordination & Liaison
v Coordinate with government authorities to ensure timely submission of required documents and reports.
v Support the Managing Director in preparing and organizing materials for government meetings and inspections.
v Maintain organized records of licenses, regulatory submissions, and compliance
v Documentation
Report Management
v Compile, proofread, and manage business and regulatory reports—including
v Japanese-language documents—to ensure accuracy and readiness for both internal review and government submission.
v Track submission deadlines and maintain a reporting calendar to ensure compliance.
Travel & Hospitality Management
v Arrange detailed travel and accommodation plans for executives and overseas guests.
v Oversee logistics related to business trips, including visa applications, transportation, and itinerary planning.
Task Management & Prioritization
v Manage and prioritize multiple assignments with attention to detail, accuracy, and efficiency.
v Identify urgent matters and ensure they are addressed promptly with minimal supervision.
Job Requirements
v Strong organizational and multitasking abilities.
v Proficient in Microsoft Office (Word, Excel, PowerPoint) and business communication tools.
v Knowledge of local government processes and regulatory requirements is a plus.
v High level of professionalism, confidentiality, and cultural sensitivity.
v Bachelor’s degree in Business Administration, International Relations, or a related field.
v Proven experience in a Corporate Secretary, Executive Assistant, or Personal Assistant role, preferably in a multinational or Japanese business environment.
v Excellent communication skills in English and Japanese (JLPT N1 or N2).
