Job Description

·       Provide high-level administrative and secretarial support to the Managing Director (MD).

·       Manage and coordinate the MD’s calendar, appointments, meetings, and travel schedules efficiently.

·       Prepare meeting agendas, presentations, reports, minutes of meetings, and follow-up action items.

·       Arrange domestic and international business trips, including visa processing, invitation letters, flight bookings, hotel reservations, and transportation arrangements for the MD and all expatriates in company.

·       Screen and manage phone calls, emails, correspondence, and visitors on behalf of the MD.

·       Maintain confidential documents, records, and sensitive information with a high level of discretion and professionalism.

·       Coordinate and communicate effectively with internal departments, external stakeholders, government authorities, and business partners.

·       Monitor and maintain expense records, leave records, medical claims, and other administrative matters related to the MD and expatriates in company.

·       Organize and maintain systematic filing systems and databases in both electronic and hard- copy formats.

·       Support the MD in business communication, translation, and coordination when required.

·       Ensure timely follow-up on pending tasks, projects, and management instructions.

·       Perform any other duties and responsibilities assigned by the Managing Director and authorized management personnel.

Job Requirements

·       Bachelor’s degree from a recognized university.

·       Minimum 4-5 years of experience as an Executive Secretary, Personal Assistant, or in a similar role supporting senior management.

·       Experience working with expatriates and within multinational environments is preferred.

·       Excellent command of written and spoken English.

·       Strong communication, interpersonal, coordination, and organizational skills.

·       High level of integrity, professionalism, and ability to maintain confidentiality.

·       Proficient in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.

·       Strong multitasking and time management abilities with attention to detail.

·       Able to work under pressure and meet tight deadlines.

·       Flexible, proactive, and service-oriented personality.

·       Willing to travel or work beyond office hours when necessary
